DEPOSITS :

For all bookings, the first night of stay will be charged at the time of booking, with the remaining balance due at check in. All group or retreat bookings of over 20 people require a non-refundable deposit of $500 to secure your booking. Small weddings over 4 ppl require a non-refundable deposit of $200-$1000, based on the site fees and arrangements made at the time of reservation. All full property buy-outs and large weddings require a non-refundable deposit of $1000 to secure your booking.

CANCELLATION :

Cancellations that are at least 7 days prior to check-in will be refunded less a $50 administration fee, per room/accommodation. If you cancel less than 7 days before your check-in date, there will be no refund and the deposit amount charge will apply. If you cancel within 48 hours the full cost of your booking will be applied. All cancellations must be in writing and dated. For bookings made through 3rd party sites such as through expedia, booking.com, airBnB, etc – applicable cancellation policies will apply. Note that these policies apply regardless of the reasons for cancellation – ie. smoky skies, injury, illness, a global pandemic, floods, fires, etc. We understand that we are living in very uncertain times, but we also believe that everyone is aware of the inherent risks in long-term planning in this day and age. Thank you for understanding, and for only booking with us if you agree with the policies outlined. 

MINIMUM STAY :

2 night stay minimum applies to all accommodations on any day of the week through the 2023 season. Exceptions may be made for last minute bookings or in the case of limited availability – subject to availability, and management discretion.

 

PETS :

We are happy to offer a handful of select pet-friendly cottages and safari tents. If you would like to bring your furry friend along please make sure that when you make your initial reservation you have selected one of our pet-friendly accommodations. Pets incur a rate of +$30 + taxes per night. Please bring a pet-bed, food & water dishes, and keep them on a leash while outside on the property at all times. Any pets, or evidence of pets, found in cottages or tents which are not designated pet-friendly accommodations will incur a non-negotiable penalty fee of $100 / night.

 

CHECK IN / CHECK OUT :

Check-in time is from 3:00 pm onwards and checkout time is by 11:00 am. If you are expecting a late arrival (9 pm or later) please be sure to notify us in advance and we will work out specific check in instructions, based on your ETA and the current season. Other arrangements with written approval from management may be available upon request. If you are late to check out without obtaining permission from front desk staff first, charges will be incurred, at $50 per fraction of each hour surpassed. 

TOWELS :

Bath towels are provided for in-room use only. Please note that we do not provide beach towels, nor permit the use of our bath towels at the beach. Please be sure to pack beach towels along with you.

VISITORS :

We regret to inform our guests that during times of COVID we are not allowing any visitors onsite, in effort to minimize numbers and human traffic onsite, avoid crowds, and for the general safety of our guests, patrons, and staff. Should you wish to get together with a friend or family member consider meeting them at a public park or restaurant in the area. Thank you for complying and understanding.

 

HOUSEKEEPING :

Our housekeeping staff will be happy to service your cottage between their regular working hours, apx 10 am – 3 pm daily. If, during this time house-keeping comes by and finds your “do not disturb” sign in place – note that they will not be back again outside of these hours for servicing. In efforts to minimize needless water pollution we do not change sheets and linens daily. If you need your linens changed during your stay, please notify front desk. Any towels placed in bath tub will be replaced – those hanging up will not. Housekeeping staff is required to enter the room at subsequent times to clean the room, check for safety, and verify the condition of the room. Management reserves the right to enter a room for reasonable purposes, such as an emergency, housekeeping, maintenance, verify that the room, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our Policies. In the event of suspected illegal activity, management reserves the right to summon law enforcement to aid in eviction. The right to privacy ends when a Policy is broken. Law enforcement will be granted immediate access to hotel property and rooms of evicted guests. Please note that daily housekeeping is not provided in our safari tents and wood cabins unless requested prior to noon; except for in the case of long stays, wherein housekeeping services will be provided twice per week. * Please have a look at our COVID response page for updates on any changes to housekeeping procedures and our most current protocols in place. *

 

MAXIMUM OCCUPANCY :

Room occupancy requirements are based on insurance policies. If you exceed the maximum number of guests allowed, you will be asked to rent another guest-room for proper accommodations or vacate the hotel, no refunds. Please ensure to declare all guests regardless of age – yes, including babies.

ROOM KEYS :

Room keys are issued to the registered guest(s). No room keys will be issued to youth under 18 at any time. Please return room keys to Front Desk at Check-out. Failure to return keys will incur charges, of $50 per un-returned/lost key.

 

QUIET HOURS:

11 pm – 9 am are quiet hours. This applies to both indoor and outdoor spaces. Please respect your fellow guests’ peace and abide by this policy. If you become aware of a disruptive guest, please contact Front Desk staff via phone or in person.

 

ALCOHOL POLICY :

Registered guests of legal age who choose to bring their own alcoholic beverages must consume those in their room or at designated picnic areas. Alcohol is not allowed in public areas such as at the beach, on dock, footbridge, trails, or gardens. Alcohol consumed during special events served by a licensed caterer with permit to serve/sale alcohol is restricted to those of age (valid ID required) and can only be consumed at that event venue

 

NO IN-ROOM PARTY :

Ruby Lake Resort enforces a No In-Room Party Policy to ensure we can protect the hotel and our guests at all times. No parties, loud disturbances and/or noise-nuisance are allowed or tolerated on these premises. In the event of a disturbance, one polite request (warning) will be given to reduce the noise. If our request is not followed, the guest will be asked to leave the hotel without refunds.

 

DAMAGE AND/OR THEFT OF HOTEL PROPERTY :

You are liable for any damage howsoever caused (whether by the deliberate, negligent, or reckless act) to the room(s), hotel’s premises or property caused by you or any person in your party whether or not staying at the hotel during your stay. Ruby Lake Resort reserves the right to retain your credit card and/or debit card details as presented at registration and charge or debit the credit /debit card such amounts as it shall in its sole discretion deem necessary to compensate or make good the cost or expenses incurred or suffered by Ruby Lake Resort as a result of the aforesaid. Should this damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc. We will make every effort to rectify any damage internally prior to contracting specialist to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.

DAMAGE DISCOVERED AFTER CHECK-OUT :

Guest Rooms found with waste strewn around, in complete disorder, and/or “trashed” will be subject to maintenance deep cleaning fee, administration fee and/or third party fees.

 

DAMAGE TO ROOM :

Damage to rooms, fixtures, furnishing and equipment including the removal of electronic equipment, towels, art work, etc. will be charge at 100% of full and new replacement value plus any shipping and handling charges. Any damage to hotel property, whether accidental or willful, is the responsibility of the registered guest for each particular room. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued.

 

DAMAGE TO MATTRESSES AND BEDDING :

Damage to mattresses and linen including; towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe-polish, or wine spills, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

 

DAMAGE OR TAMPERING WITH FIRE DETECTION SYSTEMS/FIRE-FIGHTING EQUIPMENT :

Ruby Lake Resort reserve the right to take action against any guest or visitor found to have tampered or interfered with any detection equipment within the accommodations. Guests or visitors found to have tampered with any fire detection or fire-fighting equipment will be charged with any costs incurred by the hotel due to their actions, as well as the $100 per night smoking penalty fee, and will be evicted from the hotel. Depending on the severity of the guest actions, law enforcement may become involved at the hotel’s discretion. Should the fact that fire-fighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc.

 

PARKING AT OWN RISK :

All vehicles are parked at the risk of the owner. Ruby Lake Resort shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the hotel property.

  

LOST & FOUND POLICY :

Ruby Lake Resort assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left behind something of value to you, please call us # (604) 883 2269 and we will try to assist you in locating your lost item. Any belongings, with the exception of perishable items, left behind by our guests and found after departure by housekeeping or other staff, will be collected, and kept in a secure location for collection by the owner for up to a maximum of 7 days. Reasonable effort will be made to notify the guest that an item has been found. Perishable items, underwear, and miscellaneous toiletries are discarded. Any items not claimed within 7 days will be discarded of.

   

RIGHT TO REFUSE SERVICE :

Ruby Lake Resort is privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) that does not violate federal laws. Ruby Lake Resort has a zero tolerance policy in which we will refuse to admit or refuse service or accommodation in our hotel or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by the owners for the operation and management of the hotel. Ruby Lake Resort will refuse service or evict a guest: for refusal or failure to pay for accommodations, is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests or is not in compliance with applicable liquor laws; acts in a disorderly fashion as to disturb the peace of other guests; is unable to properly supervise their children at all times, seeks to use the property for an unlawful purpose; seeks to bring into the hotel: an unlawfully possessed firearm; or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to hotel property or guests; causes or permits persons to exceed the maximum allowable occupancy of room, refuses to abide by the reasonable standards or policies established by Ruby Lake Resort.
